Zoom Integration

Connect Zoom to Telos so your team can schedule Zoom meetings directly from the CRM and from Sapience, our AI assistant. Meetings booked through Telos automatically appear on attendees' Outlook calendars with the Zoom join link embedded, and link to the relevant deal and contact in your CRM.

What this integration does

  • Create Zoom meetings from inside Telos. Book meetings manually from a contact or deal, or ask Sapience in plain English ("Book a 30-minute Zoom with Jane Doe tomorrow at 2pm about the Acme deal").
  • Outlook calendar invites with Zoom links embedded. Attendees receive a standard Outlook invite; the Zoom join URL is in the event body and the event location.
  • Automatic CRM linking. Each meeting is associated with the contact and, when unambiguous, the related deal — so it appears on each record's activity feed.
  • Host validation. Telos verifies that the host's email exists in your Zoom account before creating the meeting, so you never end up with a calendar invite pointing at a broken Zoom room.
  • Microsoft Teams fallback. If Zoom isn't connected (or you prefer Teams for a specific meeting), Telos can attach a Teams meeting instead via Microsoft Graph.

Prerequisites

  • An admin account on your organization's Zoom account (required to install the app)
  • A Telos workspace where you have permissions to manage integrations
  • Each Telos user who will host Zoom meetings must have an email on their Telos profile that matches their Zoom user email

How to install

The Zoom integration is installed once by a Zoom account admin and works for every Telos user in your workspace afterward. Individual users do not need to connect their own Zoom accounts.

  1. In Telos, navigate to Setup → Integrations → Zoom (/t/<your-workspace>/system/setup/integrations/zoom).
  2. Click Connect Zoom.
  3. You'll be redirected to Zoom's consent screen. Sign in as a Zoom account admin.
  4. Review the permissions Telos is requesting:
    • meeting:write:meeting:admin — Create meetings on behalf of users in your Zoom account
    • user:read:user:admin — Read user details so we can verify host emails before booking
  5. Click Allow to authorize the integration.
  6. You'll be redirected back to Telos. The Zoom Integration page will now show "Zoom is connected" along with your admin email and the granted scopes.

How to use

Booking a meeting manually

  1. From a deal or contact in Telos, click Book Meeting.
  2. Fill in subject, start time, duration, and select attendees.
  3. The meeting provider defaults to Zoom. Switch to Microsoft Teams or No online meeting from the dropdown if you'd prefer.
  4. Click Book.

Telos will:

  • Create the Zoom meeting under your Zoom identity (the email on your Telos profile must match a user in your Zoom account)
  • Create the calendar event on your Outlook calendar with the Zoom join URL in the body
  • Send invites to each attendee from your Outlook mailbox
  • Link the meeting to the contact, and to the deal if exactly one open deal is associated

Booking a meeting via Sapience

Ask Sapience in plain English. Examples:

"Book a 30-minute Zoom with Jane Doe tomorrow at 2pm about the Acme Q3 deal."

"What does my calendar look like Friday afternoon?"

"Book a Teams meeting with Bob and Sarah next Tuesday at 10am."

Sapience resolves the contact, picks a meeting provider (defaults to Zoom if connected, otherwise Teams), checks calendar availability if you ask, and confirms the booking before creating it.

How to disconnect

You can disconnect Zoom from Telos at any time. Once disconnected:

  • Existing Zoom meetings remain unchanged on Zoom's side
  • New meeting requests through Telos will fall back to Microsoft Teams (or fail if neither is connected)
  • Stored access tokens are cleared from Telos's database

Disconnect from Telos

  1. Navigate to Setup → Integrations → Zoom.
  2. Click Disconnect Zoom and confirm.

Telos calls Zoom's token revocation endpoint on your behalf and clears all stored credentials locally.

Uninstall from Zoom

You can also remove the app entirely from your Zoom account:

  1. Sign in to your Zoom account as an admin.
  2. Go to Admin → Advanced → Apps on Zoom Marketplace → Manage (or visit https://marketplace.zoom.us/user/installed).
  3. Find Telos in the Installed Apps list.
  4. Click Remove.

When you remove the app from Zoom's side, Zoom notifies Telos automatically and the integration is cleared from your Telos workspace — no separate Telos action needed.

Troubleshooting

"Host email isn't a user in your Zoom account" — when Telos tries to book a meeting on your behalf, it first checks that your Telos profile email exists as a user in your connected Zoom account. If the two don't match, either:

  • Update the user's email on Zoom Admin → User Management to match their Telos profile email, OR
  • Update their Telos profile email to match their Zoom email

"Zoom isn't connected for this tenant" — the admin who installed the app uninstalled it (or someone clicked Disconnect in Telos). A Zoom admin needs to reconnect at Setup → Integrations → Zoom.

Meetings aren't showing up on attendees' calendars — this isn't a Zoom issue; check that your Microsoft 365 account is connected to Telos at Setup → Integrations → Microsoft 365. Outlook invites are sent through your Microsoft mailbox, not Zoom.

Data we access

We access only the data necessary to create meetings on your team's behalf:

  • Create meetings on behalf of users in your Zoom account
  • Read user records to verify a host's email exists before booking

We do not access participant data, meeting recordings, transcripts, chat messages, or any meeting content.

Meeting IDs and join URLs are stored in our PostgreSQL database (encrypted at rest), linked to the corresponding meeting record in your Telos CRM so users can launch the meeting from inside Telos.
